Special Services Head Secretary


QUALIFICATIONS:

1. Knowledge of Windows and Windows 7 (or current operating system) Computer data entry/keyboarding skills of at least 50 wpm is required.

2. Knowledge of modern office methods, practices and procedures, business English, spelling, punctuation and arithmetic.

3. Ability to perform clerical work with speed and accuracy.

4. Ability to apply school and special education laws, policies, rules, and regulations.

5. Ability to carry out and give oral and written instructions.

6. Ability to communicate with students, staff, and the general public, using tact and discretion.

7. Must respect confidential information and reports.

8. High school diploma or equivalent.

9. Must have excellent attendance and punctuality.

10. Understanding of current purchasing program used by District to enter purchase orders, mileage requests and order materials.

11. Accurately collect data and track costs to be used in assorted reports to ODE and/or other agencies.

12. Compose letters to parents in regard to assorted student situations.

13. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

SUPERVISES:

Supervision may, in some instances, be a normal responsibility of this position.

JOB GOAL:

Perform or supervise the performance of varied office functions including clerical, secretarial, and receptionist duties. The use of independent judgment and decision making is sometimes required in matters not having established rules, regulations, or policies. Communication with students, staff, and the public require the use of tact and discretion.

PERFORMANCE RESPONSIBILITIES:

1. Acts as secretary to the Director of Special Services.

2. Compose letters, memos, forms, handbooks, agendas, reports and other assignments and assure that these tasks are completed.

3. Handles telephone calls, giving limited non-technical information to those requesting it, and delivers messages.

4. Operates all office equipment in the Special Services office.

5. Prepares and keeps accurate records of requisitions and purchase orders. Processes bills for payment and keeps up-to-date records of what has been spent.

6. Receives mail and packages; sorts mail, checks off and marks contents of boxes and forwards to person who ordered item.

7. Orders office and school supplies. Maintains the office supply cupboard with needed items.

8. Completes office payroll and related recordkeeping.

9. Tracks out of district school placements and billings.

10. Prepares and submits reports to central office and education agencies when requested.

11. Serves as liaison between administrator and staff, students, and public, including supporting professional development.

12. Follows general guidelines, directions, and expectations.

13. Performs related duties as directed by the Director of Special Services.

TERMS OF EMPLOYMENT:

As agreed. Salary to be established by the labor agreement and ratified by the Board of Education.

EVALUATION:

Performance of this job will be evaluated annually by the Director of Special Services in accordance with the Board's policy on evaluation.
