Facilities Office Coordinator

Facilities Supervisor

general description of the position:

Under the direction of the Facilities Supervisor, oversee and coordinate various administrative and operational tasks related to maintenance activities within the Facilities Department.

qualifications:

1. Minimum five years office administrative support experience required

2. Skilled in time management, flexibility, organization and independent work

3. Ability to handle multiple tasks simultaneously and prioritize

4. Excellent interpersonal, oral and written communication skills required

5. Proficiency in Google Platform (Gmail, Calendar, Google docs), Microsoft Word, Excel and PowerPoint required

6. Experience using a work order system for dispatching work

7. Experience working with vendors and contractors

8. Experience using State purchasing system

9. Experience in Public Purpose Charge Schools Program preferred

10. Experience in purchasing requisitions and the process.

11. Ability to work well in a team environment

job responsibilities:

1. Support Facilities Department with day to day functions

2. Assist technicians with payroll and timekeeping tasks, including Time Clock Plus.

3. Assist the Facilities Supervisor with filings and reports to federal, state and local agencies as needed.

4. Prepare and process purchase orders

5. Coordinate with vendors

6. Receive, prioritize and distribute work orders

7. Maintain a tracking system to record work order status and updates

8. Process requisitions and coordinate with District Buyer.

9. Support the Facilities Department Supervisor with department budget.

10. Prepare reports of the department budget.

11. Serve as a point of contact for external contractors involved in maintenance projects.

12. Schedule and coordinate with contractors.

terms of employment:

40 hours per week / 260 days per year. Salary to be established by the labor agreement and ratified by the Board of Education.
