OCHS Student Services Secretary


QUALIFICATIONS:

1. Bachelor’s degree or three years of equivalent work experience.

2. Secretarial skills to enable prompt accurate completion of assigned tasks.

3. Ability to meet and work with the public and to exercise some initiative, ingenuity and judgment in solving minor problems.

4. Must respect confidential information.

5. Ability to communicate with students, staff, and the general public, using tact and discretion.

6. Ability to work effectively with students with special needs.

7. Preferred understanding and experience of special education law and individual education plans.

8. Bilingual preferred but not required

REPORTS TO:

Building Principal and/or Designee.

JOB GOAL:

The ability to perform the assigned duties of varied office functions including clerical, secretarial, and receptionist duties. Establish and maintain computer files to identify and track all IEP students. Provide statistical information to buildings, agencies, and administration.

PERFORMANCE:

1. Acts as a secretary to the Special Services offices at the middle and/or high school.

2. Handles telephone calls, giving limited non-technical information to those requesting it and delivers messages.

3. Maintains and creates all IEP records on current and former students in the electronic student management systems including paper files. This includes: Forwarding information to other agencies and schools, once released by the student and/or parent and maintaining safeguards with regard to confidentiality of student information and files.

4. Searches records, requests information, identifies and tracks IEP students. Creates and supplies necessary forms.

5. Coordinates the performance of varied office functions clerical, secretarial, bookkeeping and receptionist duties. Including scheduling of IEP and transition meetings.

6. Orders, tracks, stores, dispense office and department supplies.

7. Tracks and monitors timesheets for principal’s secretary.

8. When requested by a supervisor; covers tutorials and other duties during emergencies.

9. Performs other tasks as assigned.

Range 12

EVALUATION:

The performance of this job will be evaluated annually by the principal in accordance with the Board's policy on evaluation.
